Information You Provide
This Policy covers any personal information you submit through the Careers Sites as part of the job application or job search process, including:
- name, contact information;
- log-in and password;
- CV, résumé, cover letter, previous work experience and education information;
- employment preferences, willingness to relocate, current salary, desired salary and how you heard about the Careers Site; and
- professional and other work-related licenses, permits and certifications held;
- language and other relevant skills;
- awards and professional memberships;
- eligibility to work in country where job applied for is located, available start date; and
- information relating to references.
You may also voluntarily choose to provide other relevant information as part of your application. Please do not submit any of the following sensitive information: Social Security number, sexual orientation, race, ethnic origin, religion, beliefs, disability, marital status, creed, nationality, national origin, color and/or age.
If you intend to provide us with details of a reference or any other third party as part of your CV/résumé, it is your responsibility to obtain consent from that third party prior to passing the personal information to us.
You are responsible for the content of the information you provide to us and you must ensure it is legal, truthful, accurate and not misleading in any way and does not infringe on any third party’s rights, or is not otherwise legally actionable by such third party.
Use of Personal Information
Personal information you provide through the Careers Sites will be collected, used, transferred and disclosed for Outlook’s recruitment functions and for related management and planning purposes. Outlook will use the personal information you provide, as permitted by applicable law, to:
- process your application;
- assess your capabilities and qualifications for a job;
- provide to you any services available on the Careers Sites from time to time;
- communicate with you;
- comply with any applicable law or regulation;
- prepare internal reports and metrics;
- monitor and record services whether provided by Outlook or a third party; and
- conduct background checks, conduct reference checks and/or verify employment history if you are offered a job.
Personal information about you will be added to Outlook’s candidate database and will be used for the purposes of considering whether your profile is suitable for other job vacancies at Outlook. If we elect to make you an offer, personal information you submit may be incorporated into our human resources system and used to manage the new-hire process. If you become an employee, any personal information that you submit may become part of your employee file and may be used for other employment/work-related purposes.
The provision of personal information on the Careers Sites is voluntary. Please note, failure to provide sufficient information, however, may result in Outlook being unable to consider your employment application.
Passive Information Collection: Cookies and Similar Technology
We also employ a software technology called clear gifs (a.k.a. Web Beacons), that help us better manage content on our site by informing us what content is effective. Clear gifs are tiny graphics with a unique identifier, similar in function to cookies, and are used to track the online movements of Web users. In contrast to cookies, which are stored on a user’s computer hard drive, clear gifs are embedded invisibly on Web pages and are about the size of the period at the end of this sentence. We do not tie the information gathered by clear gifs to our customers’ personally identifiable information.
Additionally, as is true of most web sites, we gather certain information automatically and store it in log files. This information includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, and clickstream data.
We use this information, which does not identify individual users, to analyze trends, to administer the site, to track users’ movements around the site and to gather demographic information about our user base as a whole.
Disclosure of Personal Information
Outlook also may disclose personal information about you in order to: (1) protect the legal rights, privacy or safety of Outlook or its employees, agents and contractors; (2) protect the safety and security of visitors to our web sites or other properties; (3) protect against fraud or other illegal activity or for risk management purposes; (4) respond to inquiries or requests from government or public authorities; (5) pursue available remedies or limit the damages that we may sustain; (6) enforce our terms of service; or (7) comply with the law or legal process.
Outlook also may transfer any and all information that we collect about you to third parties in the event of any merger, sale, joint venture, assignment, transfer or other disposition of all or any portion of Outlook’s assets or stock (including without limitation in connection with any bankruptcy or similar proceedings).
Access and Correction
If you choose to register on the site, you may access, review, and change some of the personal information collected about you and stored on the Site by logging into the Site and choosing to update your account information. The updated profile will be used as the default the next time you apply for a job using your account online. To change personal information that you already have submitted for consideration for a specific position, please resubmit your application to update personal information about you that is associated with that job application. We encourage you to promptly update your personal information if it changes or is inaccurate.
Requests to remove personal information from Outlook’s candidate database should be emailed to email@example.com, or requested by phone or mail to the postal address listed below. We will respond to your request to access within 30 days. Outlook will respond to such requests by removing the individual’s contact information from the database – specifically, the individual’s email address, telephone number and address – and noting that the individual does not wish to be contacted. All other information regarding the individual will remain in the database, notwithstanding the request.
We are required to retain information relating to candidates applying for jobs within the United States. If there is no activity in relation to the personal information, Outlook may remove it from its database, subject to Outlook’s data retention policies and practices and any applicable legal or regulatory obligations. Note that Outlook may delete personal information about you at any time (including your CV/résumé), for any or no reason and without notice to you. Therefore, please retain your own copy of the personal information provided to us.
We take reasonable precautions to safeguard the personal information transmitted between visitors and the Careers Sites and the personal information stored on our servers. Unfortunately, no method of transmitting or storing data can be guaranteed to be 100% secure. Therefore, we cannot guarantee its absolute security. Do not send sensitive information via email. It is your sole responsibility to use the appropriate level of care whenever communicating with us.
If you have reason to believe that your interaction with us is no longer secure (for example, you feel that the security of any account you might have with us has been compromised), you must immediately notify us of the problem by contacting us at firstname.lastname@example.org.
With your consent we may post your testimonial along with your name. If you wish to update or delete your testimonial, you can contact us at email@example.com.
Links to other websites
The Careers Sites may contain links to other websites. The operators of those other websites may collect information about you, through cookies or other technologies. If you link to another website, you will leave the Careers Sites and this Policy will not apply to your use of and activity on those other sites.
Changes to the Policy
We reserve the right to amend this Policy at any time in order to address future developments of Outlook, the Site or changes in industry or legal trends. We will post the revised Policy on the Careers Sites or announce the change on the home page of the Careers Sites prior to the change becoming effective. You can determine when the Policy was revised by referring to the “Last Updated” legend on the top of this Policy. Any changes will become effective upon the posting of the revised Policy on the Careers Sites. By continuing to use the Sites following such changes, you will be deemed to have agreed to such changes. If you do not agree with the terms of this Policy, in whole or part, you can choose to not continue to use the Careers Sites.
